The handoffs mattered more than the app count
PrepLadder’s Sales, Marketing, and Support teams used four separate tools. Customer details and work updates did not move clearly between them. The teams found 36 manual tasks during workshops, many of them caused by copying data between apps. When a sale closed, Support could miss the customer context. Deadlines were missed as work passed between teams.
We mapped what each group needed at the point of handoff. Sales needed instant lead updates. Support needed customer history with tickets. Marketing needed campaign tracking. The choice was to connect the customer record and show each team the work it needed. This gave us a smaller, clearer scope than rebuilding each old app inside a new one.
One customer record, different team views
We built one workspace with role-specific dashboards for Sales, Marketing, and Support. Shared customer data connects lead updates, tickets, tasks, boards, calendars, reminders, and files. Marketing can pass new leads to Sales. When Sales closes a deal, Support can see the customer details. Teams can also assign work, track deadlines, and see project progress in a shared view.
One customer record can support different tasks without asking each team to maintain a separate copy. This is the data decision behind the interface: share the record, then show it in a view that fits the team’s work. A single screen for everyone would still leave staff sorting through information they did not need. Role-specific views let the teams share data while keeping their daily work distinct.
The team used WeWeb, Supabase, third-party integrations, and Figma. They tested the workspace with PrepLadder three times. Then they released it to departments in stages.
Rollout traded speed for continuity
The old and new systems ran together during the rollout. This let each department move in stages while earlier work could still continue. The tradeoff was that teams had both systems during the change. That takes more coordination for a while, but gives people time to learn the new workspace before every handoff depends on it.
Support staff can see ticket volumes, response times, and agent workloads in one view. When queues rise, they can move work to available agents. The same workspace gives teams a shared place to manage customer details and tasks.
Reminders cut missed deadlines
Vishav Jyoti of PrepLadder reported 30% fewer missed deadlines for the Sales team in the first month. Automated reminders contributed to the result. Sales, Marketing, and Support could share live data in one workspace.
